Privacy Policy

This page explains what personal data the service handles, why, and what control you have. In plain terms: we store what you enter so we can send your reminders, and we don't sell or share it.
1. Who does what
For your own account details, we decide how the data is used. For the invoice and client details you enter (your clients' names and email addresses), you decide whom to contact and why, and we process that data on your behalf to send the reminders you set up. You are responsible for having a lawful reason to contact your clients.
2. What we collect
- Account data: your email address, name, and your payment link (the link shown in reminders).
- Invoice data you enter: client names and emails, amounts, currencies, due dates, descriptions, and the record of which reminders were sent and when.
- Your settings: reminder schedule, email templates, and whether you joined the WhatsApp waitlist.
- Billing data, if you subscribe to a paid plan: your name, email, and billing address are shared with our payment processor to set up and manage your subscription. We never see or store your card details ourselves — see "Who else handles your data" below.
- Technical data: basic logs our hosting providers keep, such as IP address and browser type, for security and reliability.
See "Cookies" below for the one exception to that.
3. Cookies
Our marketing website (pingtopay.app) uses one analytics tool, Google Analytics, to see roughly how many people visit, which pages they view, and general location/device type. It only runs if you click "Accept" on the cookie banner shown on your first visit — if you decline or ignore it, no analytics cookie is set and nothing is sent to Google. You can change your earlier choice by clearing this site's local storage in your browser. The PingToPay app itself (app.pingtopay.app) does not use this or any other analytics tool. We don't use advertising or ad-tracking cookies anywhere.
4. How we use it
- to run the service: store your invoices and send the reminder emails you set up;
- to email you about your account and service changes;
- to keep the service secure and fix problems.
We do not sell your data or use it for advertising. When a reminder is sent, your clients see your name and payment link, and their replies go to your email address.
5. Who else handles your data
We use these service providers, who process data only to provide their service to us:
- Google Firebase (login, database, hosting, and background functions), with servers in the United States and India.
- Resend (sending email).
- Dodo Payments, if you subscribe to a paid plan — they act as the merchant of record for the transaction, meaning they handle billing, your card details, tax, and payment compliance directly. We only receive confirmation of your subscription status, not your card details.
- Google Analytics, only if you accept the cookie banner on our marketing website — see "Cookies" above. Google's own privacy policy covers what they do with it.
- Google Fonts loads the typefaces on our pages, which means your browser contacts Google's servers.
Because these providers operate internationally, your data may be processed outside your country. We will update this list if it changes.
6. How long we keep it
We keep your data while your account is open. When you delete your account, your login, settings, and all invoices are permanently deleted. Backups and provider logs may take a short time to clear.
7. Your rights and choices
Depending on where you live (for example the EU/UK, California, or India), you may have rights to access, correct, delete, or export your data, and to object to certain processing. In the app, go to Settings, then Your data to download everything we hold about you or delete your account. For anything else, email support@pingtopay.app and we aim to respond within 5 business days. We take these requests seriously and expect to be able to resolve most concerns directly — you also have the right to contact your local data-protection authority.
8. Security
Data is protected with the security features of Google Firebase, including encryption in transit and access rules so each account can only see its own data. No system is perfectly secure, so please use a strong, unique password.
9. Children
PingToPay is for business use by adults. We do not knowingly collect data from anyone under 18.
10. Changes
If we change this policy in a significant way, we will tell you by email or in the app before it takes effect.
